What we collect, who else sees it, where it is kept and how to get a copy or have it corrected. It is written about our actual systems rather than copied from a template, so it is specific — and longer than most. If anything here concerns you, ring 02 5765 0065 and ask.
1. Who we are, and what this covers
Bang For Ya Buck (BFYB) provides pest control, carpet and upholstery cleaning and flood restoration across Armidale & the New England, NSW. This policy covers personal information we collect through this website, through our office, and through our technicians on the job.
It is written to describe what our systems actually do, so it names real things rather than talking in general terms. If something here does not match your experience of us, tell us — that is a fault worth fixing.
2. What we collect when you book or ask for a quote
Booking online or sending a quote request gives us:
- Your name, email address and phone number, and a business name if you book as a company or an agency.
- The address of the property — street, suburb, state and postcode — and its approximate coordinates, which we use to work out travel and to put jobs in a sensible order.
- What the job is: the service, the property type, the number of rooms or bedrooms, the storeys, and anything you tell us about the problem.
- How you would like us to confirm the job, and anything you type into the notes.
- Which version of our terms you accepted, and when.
You do not have to give us any of it — but without an address and a contact number we cannot quote a job or turn up to it, so in practice a booking is not possible anonymously. You are welcome to ring instead of using the website.
If you ask for a quote and never book, we still hold what you sent us. See clause 10 for how long.
3. What we collect when we do the job
- How we get in: access instructions, where a key is kept, gate and alarm codes, parking notes.
- Pets: whether there are animals on site and anything we need to know about them, so we can treat safely around them.
- Photographs of the areas we treat or clean, including before-and-after shots and anything we need to evidence on a report or a warranty claim. These are of your property, not of you.
- What we used: the products applied, where, and at what rate — a record we are required to keep.
- The technician's notes, the time on site, and a signature where one is needed.
4. Health and other sensitive information
We ask whether anyone at the property has a sensitivity or medical condition affected by the chemicals we use — asthma, a pregnancy, a respiratory condition, an allergy. That is health information, and the law treats it more carefully than a phone number.
We collect it only because we cannot treat a property safely without it. We use it for that and nothing else. It is never used for marketing, never shared outside the people doing your job, and you can ask us to remove it at any time — though if you do, tell the technician on the day instead, because that is the information that decides what goes on the floor.
5. Information about other people
Two situations come up constantly in our trade, and both mean we end up holding details of somebody who did not book the job:
- Tenants and occupants. When an owner or an agent books a job at a rented property, we record the occupant's name and contact details so the technician can arrange access and so we can tell them how to prepare.
- Agents and property managers. Where an agency instructs us, we hold the agent's name and email on the job and the invoice.
If you give us somebody else's details, please make sure they know and are comfortable with it. Whoever they are, the rights in clause 13 are theirs too — an occupant can ask us what we hold about them, and can ask us to correct it, exactly as the account holder can.
6. What the website itself records
We keep a simple log of how the site is used: the page, the event (a page view, a phone tap, a booking step), the website you arrived from, any campaign tags on the link, a random session id that lives in your browser tab and disappears when you close it, and device facts such as screen size and how far down a page was read.
We do not run advertising trackers or third-party marketing pixels on this site, and we do not sell or rent anybody's information to anyone, for any purpose. Ever.
7. What we use it for
- Quoting, booking, doing and invoicing your job.
- Telling you what is happening — confirmations, reminders, a message when the technician is on the way, reports and receipts.
- Warranty: knowing what was treated, with what, and when, so a callback can be honoured.
- Keeping the records a licensed pest management business is required to keep.
- Understanding which parts of our website work, in the aggregate.
- Marketing — but only where you have opted in. See clause 8.
8. Marketing, and how to stop it
Messages about a job you have booked are part of the service and go to every customer: confirmations, reminders, reports, warranty matters. Opting out of marketing never stops those.
Marketing is separate and only ever with your express consent. Offers and updates go only to customers who opted in, every marketing email carries a one-click unsubscribe, and you can opt out any time by emailing admin@bangforyabuck.com.au. This matches clause 16 of our Terms & Conditions, and your choice is recorded against your customer record with the date.
9. Who else sees it
We use a small number of suppliers to run the business. They only ever get what they need to do their part, they are not permitted to use it for anything else, and none of them is given your information to use for their own marketing.
- Supabase — our database and file storage, where your record and the job photos live.
- Vercel — hosts this website and the booking endpoints.
- Stripe — card payments. Your card details are entered on Stripe's own payment page and go straight to them: we never see or hold a card number.
- Resend — sends our email; Twilio — sends our SMS.
- Mapbox — turns the address you type into a verified address and coordinates as you type it.
- Our accountant and bookkeeping software, for invoicing and tax records.
- Where an account is seriously overdue and we have given you the written notice our terms require, a debt collection agency.
We will also disclose information where the law requires it — a court order, a regulator, or a genuine safety emergency.
10. Where it is stored, and for how long
Your information is stored in Australia. Our database and file storage sit in Sydney (ap-southeast-2). Some of the suppliers in clause 9 are overseas companies and may process limited information outside Australia in the course of delivering an email, a text message, an address lookup or a card payment.
- Customer and job records, including treatment records: kept for at least seven years. Pest management records have to be retained, warranties run from them, and tax law requires the invoices.
- Quote requests that never became jobs: kept while there is a realistic prospect of the work, then removed on request.
- Job photographs: kept with the job record.
- The website usage log: holds nothing identifying anyone (clause 6) and is kept as a running record of site traffic.
- Keys, gate and alarm codes: removed on request at any time, and in any case when you tell us you no longer want us holding them.

12. Keeping it safe
Access is restricted to the people who need it: the office, and the technician assigned to your job. The database enforces that at the row level rather than relying on the screens in front of it. Everything moves over an encrypted connection, card details never touch our systems, and administrative access needs a login we control.
No system is perfect. If something goes wrong and a breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.
13. Getting a copy, or having it corrected
You can ask us what we hold about you and we will give you a copy. You can ask us to fix anything wrong — a misspelt name, an old phone number, an address we have recorded badly — and we will. You can ask us to delete things we are not required to keep, including access notes and key locations.
Email admin@bangforyabuck.com.au or ring 02 5765 0065. We will ask a couple of questions to be sure it is you, and come back to you within a reasonable time — usually a few days, and within 30 days at the outside. There is no charge.
14. Complaints
If you think we have mishandled your information, tell us first: admin@bangforyabuck.com.au or 02 5765 0065. We would rather hear it and fix it. We will acknowledge a complaint and respond within 30 days.
If you are not satisfied with how we have dealt with it, you can take it to the Office of the Australian Information Commissioner at oaic.gov.au or 1300 363 992.
15. Children
Our services are booked by adults and the website is not aimed at children. We do not knowingly collect information from anyone under 18, other than the ordinary case of a parent telling us who is in the house so we can treat it safely.
16. Changes to this policy
If this policy changes we publish the new version here with a new version number and date, and the old one stops applying from that date. The version and date are at the top of this page. A change that affects how we use information you have already given us will be told to you directly, not just posted here.
